Event Funding
PALATINE will work with you on planning your event. We will also fund and administer your event. When we work with you please beari in mind that our funding obliges us to ensure that we are able to maximise the value of the event whilst at the same time keeping costs to a reasonable and acceptable level.
Venue
Where possible we try and book university seminar, conference rooms and theatre spaces free of charge. If this is not possible, then PALATINE normally will pay for the hire of a room, at the internal university rate.
In most cases, we can also advise on external venues if you wish to use facilities outside your own institution.
Catering
We will pay for a sandwich or buffet lunch with soft drinks, morning and afternoon coffee/tea at the usual university rates.
We will make all the catering arrangements on your behalf.
Presenters
PALATINE will advise on the programme, suggest potential speakers and advertise an invitation to present. We will also help to devise the programme and make all the necessary arrangements with confirmed speakers.
The PALATINE guidelines for presenters' expenses are based on whether participants are:
a) making full presentations at the event
b) contributing as discussion panel chairs
For those who are making full presentations and who are not employees of the department or institution co-hosting the event, PALATINE will cover the UK travel expenses and, where necessary, accommodation expenses incurred for the purposes of the event.
We do not pay fees to presenters who are employed in UK Higher Education.
As a guide to costing events, we normally base our budgets around the reasonable travel and, if necessary, accommodation costs within the UK for 3 or 4 main presenters. We do not normally cover the costs of presenters travelling from outside the UK. (Note: in exceptional cases, we might consider covering travel from outside the UK if the overall cost of the event can be shown not to exceed the expected 'normal' cost as above).
Publicity
Attendance at PALATINE events is normally free for colleagues in UK higher education.
We publicise events on our website, in our regular Briefings, via printed mailings to departments, to subject based e-mail lists and to our own lists of contacts in performing arts higher education.
Registration and Administration
Bookings are made centrally on a personal basis with PALATINE.
We also produce and send out a full delegate pack for each event which includes: a full list of delegates, name badges, joining instructions and travel details.
A PALATINE staff member will normally be available to help and offer support on the day of the event.
